Start at Financials on a Monday
Invoiced and owed are the two numbers that decide the week. Everything else on the page is there to explain them.

Work the ageing, not the total
A large owed figure made of last week’s invoices is healthy. The same figure made of ninety-day debt is not. The ageing is the number that matters.

Use Analytics for the portfolio question
Pass rates and outstanding work by property tell you which buildings are consuming the business. Follow a figure through to its records rather than screenshotting it.

When a record is not what somebody expected, the audit trail answers who changed it and when — before the conversation becomes an argument.

If it belongs in a board pack or your accountant’s spreadsheet, take the CSV. Nothing here is trapped in the interface.

Section 03What goes wrong
Every one of these has cost somebody real time. They are cheap to avoid and expensive to unwind.
Ninety per cent of ten doors and ninety per cent of four hundred are different facts. The counts are on the page; use them.
Invoiced is what you have asked for. Owed is what has not arrived. Financials keeps them apart deliberately.
It is an audit trail for answering “what happened to this record”, not a productivity league table. Using it as one destroys the trust that makes people record things honestly.
Every export is a snapshot that starts going stale immediately. Export to share a moment, not to run the business from.
