Resource library

Shared language for inspections & handover.

Same words for door register, IDs, audit trail, records and remedials — so teams, clients and exports stay aligned across visits.

Use this page when onboarding inspectors and client contacts — one vocabulary beats three different spreadsheets.

Register & IDs

Key terms
RegisterAuthoritative list of doors for a property — stable IDs, locations, history.
Door IDPermanent identifier; QR/label points to it — not the ID itself.
LocationHierarchy & spelling fixed so filters and exports do not split.
QR tagPhysical label that resolves to the door ID — not a substitute for the register.
VisitDated inspection event on a door — carries findings, media and sign-off state.

Align these three before wider rollout — the full sections on this page go deeper.

Fix naming once; every downstream export and portal view inherits the same spelling and hierarchy.

Evidence & records

Audit · BS 8214 concepts
Audit trailWho changed what, when — tied to the door record.
ExportPDF/CSV generated from live data at a point in time.
BS 8214Record-keeping concepts for inspection documentation — not legal advice.
RecordStructured inspection outcome tied to a door at a point in time.
HandoverPack the client receives — should match live register filters.

Outputs stay comparable when the underlying terms and IDs stay stable.

When audit asks for a sample, they are checking that language — not just that a PDF exists.

Remedials

Agree severity language once — then quotes, RAMS and client packs read consistently.
